The Welcome Pack is a set of services and resources offered by the convention bureau to event organisers.
If you’ve chosen Toulouse and have a date in mind for your event, we can provide you with personalised support to help you organise it and ensure that each of your participants has unforgettable memories of the event and the city.
The welcome pack gives you access to services such as
- Preferential rates (easier access, urban transport, etc.)
- Logistical advice (services, accommodation, catering)
- Coordination with local suppliers (caterers, material hire companies, audiovisual services)
- Facilitating the welcoming of participants: setting up a welcome point at the airport or station
- Exclusive addresses and ideas to treat your participants
- Access to texts, photos, videos and online documentation

Getting to Toulouse – by air and rail
By air
Airlines offer attractive rates for conference participants and organisers. Depending on the geographical origin of your delegates, the convention bureau can help you take the first steps towards Global meeting – Skyteam or LufthansaGroup programmes.
Their online booking tools allow you to save up to 15% on airfares on the airlines serving Toulouse: Air France, KLM, Lufthansa, Brussel Airlines.

by rail
The SNCF is offering easy access to its offers by providing a personalised widget to be integrated into the congress website. Attendees have direct access to all the Oui.sncf offers on the event website in just 1 click, redirecting them to the Oui.sncf prices calendar page afterwards.

Reception facilities
Welcome at Toulouse-Blagnac airport and Toulouse-Matabiau station
The service includes reception desks at the airport and station. This service covers two two-hour slots on the day of the participants’ arrival.
The hosts or hostesses are the responsibility of the organiser. At least one month before the planned day of arrival, you will need to plan a location, a list of the people present (hosts or hostesses) and a short training session. It is also possible (at an additional cost) to offer concierge services or luggage handling.

Getting around Toulouse
You can contact Tisséo (Toulouse’s public transport company) directly to benefit from special fares and provide your delegates with transport passes.
24 or 48-hour passes are available, including unlimited travel on the metro, bus and tram, at the organiser’s expense.

Congress Pass
Under certain conditions, the Convention Bureau can provide “Congress passes”*.
This unlimited pass, specially created by the Convention Bureau in conjunction with Tisséo and designed for congress delegates, provides full access to the network for the duration of the congress.
To benefit from this pass, the congress must bring together:
- More than 300 people
- Be international
- Previous editions must have taken place in at least 3 different countries
- Be approved by the convention bureau
If your event does not meet the eligibility criteria, you will not be eligible.

* We are currently going through a difficult economic period which is forcing us to adapt our budget and our support. As a result, we cannot guarantee that we will be able to provide congress passes.
Sustainable mobility: VélôToulouse
With self-service bicycles, VélôToulouse offers more than 400 stations throughout the city with mechanical and electrically-assisted bicycles. The bike hire service is available 24 hours a day, 7 days a week. 1-day and 7-day tickets are available. If you want to offer your delegates alternative forms of mobility, you have a dedicated contact.

As far as the hotel requirements for your participants are concerned, we can query hotels according to your specifications via a dedicated platform.

Pass tourisme
You can offer your participants the “Pass tourisme”.
The “Pass tourisme” is a great way to make the most of your stay in Toulouse. Valid for 3 days, with or without transport, the Pass tourisme offers free admission to museums and monuments, discounts on many activities, and a free guided tour of your choice from the tourist office programme. From €26 per person.

Théâtre and Orchestre National du Capitole
Why not treat your speakers to the opera? You can take advantage of discounts for the purchase of several tickets for the same performance (operas, ballets, concerts). Up to 30% off for 50 seats or more.

marketing tool – Organiser kit
The organiser’s kit brings together all the key marketing elements to help you communicate effectively about Toulouse as a destination and target the right information to your delegates.
You’ll find a wide range of documentary resources and communication elements, enabling you to create your own materials: a photo and video gallery, presentation texts, simplified information web pages and a tourist magazine.

Printed tourist maps
All the tourist documents are available to download from the organiser’s kit. However, you can request printed maps of Toulouse to provide to your participants. Once you have placed your order via the form, you will receive an email from the relevant department when the documents are made available, around ten days before your event, directly at the tourist office (Donjon du Capitole).
